There are not really any rules. As long as you're a clan or a Scottish organization, I think you can put up a tent. Have you checked with your state clan organization or the regional one to see why they haven't put up a tent? There are some clans that have no one willing to do it, so this might be the opportunity for you to help them out. They may be able to give you information that you can use at the tent for Clan Buchanan.
You might even be wrangled into developing a Clan Buchanan branch in your area.
Good luck...it is a labor of love.

@ HippieLee - private message sent regarding representing the CBSI at games in Florida.
MizzouScotsman is correct also for games here in the northeast USA. But, as he alluded to, you must be an official representative of a clan or clan society/organization. I don't think any of the games our way will just let you sign up and pop up a tent.
As for cost - the most expensive up this way is the huge three day New Hampshire Highland Games and they charge $55.00 for a 10X10 space - you provide your tent etc. You can also rent a tent, tables, chairs if you want but I'm not sure for how much. That being said the space includes on site parking and two three day passes which cost about $50.00 each so you are actually ahead of the game. The other one day games in New England are right around the $20-$25 range but also include two tickets so it's usually a wash or slightly in your favor. The only games I know that do not charge for the tent space is Quechee in Vermont but they charge you admission so it comes out about the same.

As already stated the only "rule" is that you should represent a clan or clan society.
Subject to satisfying that requirement, as far as I know, the only reason you would be refused is if another society representing the same clan has already applied for a tent for the same family name. This can happen with armigerous clans where there is no chief and more than one society representing the same family name. I've only been refused once, but that was five years ago and it shouldn't happen again as we now have a Chief and have merged our clan societies.

Most games in FL are up to about $100. Anyone going to St. Augustine, Dunedin or Ormond, it's $100 or under (free in Ormond). Not sure on NW FL games as of yet. Lee, you know how to find me.
